PRINT DELIVERY INFORMATION

All feature content must be received at least 7 days prior to tech check, rehearsal or screening, or a late payment charge of $100 CAD will be applied to your final invoice.

Physical Shipping
The exhibition copy must be sent via courier (i.e. DHL, FEDEX) or air cargo – not by post. PLEASE DO NOT send exhibition materials via UPS. The shipment should arrive in Toronto with all charges pre-paid. Shipments arriving with duties, taxes, handling and terminal charges will not be accepted.

Cinesend
We also offer the option of digital delivery of a DCP through CineSend, our DCP production partner, using the below link:

EclairPlay
Please note, we can now accept delivery of DCP content via EclairPlay.


Hot Docs will cover the cost of the return shipment after the screening run. Please email us at mrobinson@hotdocs.ca with any specific arrangements for the outbound destination, otherwise it will be returned to sender.

Please indicate the title of the film on all paperwork, waybill and the outside of film containers, and address the package(s) and courier’s international waybill as follows:

For international shipments, please be sure to enclose 3 signed copies of a commercial or pro-forma invoice indicating the following:

  • Goods on temporary loan for cultural purposes
  • No commercial value
  • Non-pornographic
  • Goods shall be returned to country of origin

Please ensure that the customs value is not higher than $50 CAD to avoid delays at customs.

On the date of shipment please have the shipper provide a tracking number and the number of pieces in the shipment to  mrobinson@hotdocs.

Please ensure the correct and final version of the film is being sent, and includes the appropriate subtitles, credits, soundtrack and edit length.


CONTENT PRESENTATION

All content is presented from a Christie CP2220 DLP Digital Cinema Projector at a maximum resolution of 2048 x 1080 (2K). Any content provided at greater than 2K resolution will be downscaled to 2K.


EXHIBITION FORMATS

DCP
The preferred exhibition format for the Hot Docs Ted Rogers Cinema is DCP (Digital Cinema Package). Please ensure that the DCP is placed in the root folder of an DCI compliant standard hard drive (CRU Dataport DX115 or DX115DC). Information on DCI compliance can be found at www.dcimovies.com. Drives must be formatted as NTFS, EXT3 or EXT4, and partitioned with Master Boot Record, in order to be read by our cinema servers.

If you cannot deliver an NTFS or EXT drive, please email  mrobinson@hotdocs as soon as possible to discuss alternative options.

DO NOT SUBMIT MAC FORMATTED ( HFS+ ) DRIVES.

You may be required to ship an additional DCP if the drive format is not compatible. The drive must support at least 2 of the following data interfaces:

  • CRU
  • USB 3.x
  • SATA

The DCP file itself must conform to the following specifications:

Audio channel mapping: L, R, C, Lfe, Ls, Rs

Filename must conform to standard conventions (ie: YourMovie_FTR_F_51_EN-XX_2K_20130425…), without using any shorthand or acronyms in the name. For more information on DCP file naming convention please visit www.digitalcinemanamingconvention.com.

If you will be providing us with an Encrypted DCP, please use the following information for generating the required KDMs:

Please send the KDMs as attachments to KDM@hotdocs.ca and projection@hotdocs.ca. Keys should be active starting three days in advance of the first screening in order to give us enough time for testing, and remain open for 24 hours after the screening.

HDCamSR
Our preferred frame rate is 59.94i, however the Hot Docs Ted Rogers Cinema can support most common framerates.
Please supply an audio layout of L, R, C, Lfe, Ls, Rs on tracks 1-6.
Please contact us directly before sending 444 content.

HDCam
Our preferred frame rate is 59.94i, however the Hot Docs Ted Rogers Cinema can support most common framerates.
Please provide any Lt/Rt audio mix on channels 1 & 2.
If required, please provide any Dolby E encoded mix on channels 3 & 4.

BluRay Disc
We can accept BluRay disks for feature playback. BluRays must be provided in NTSC only, free of region code and menu locks. If possible please include 5 seconds of black at both the beginning and end of the feature. Any provided commercial BluRays must be Region 1.

Digital Betacam (DigiBeta) Tape
We can accept DigiBeta tapes in either PAL or NTSC format.

ProRes/File Based Formats
If you are interested in screening file-based content please contact mrobinson@hotdocs directly for details.

Please note: Hot Docs Ted Rogers Cinema does not charge a VPF.


BACKUP VERSION

Hot Docs requires that you provide a backup version of your documentary, preferably as a BluRay disc with specification matching those listed above, or, failing that, a DVD in NTSC format.


CONTENT CHECKS

Our projection team will do a quick content check upon receipt of your material. We will check for ingest, sound sync, and credit end timing. If we encounter any problems with the material, we will be in touch with you directly.

You have the option of scheduling a 1 hour tech check at the cinema at a cost of $150 CAD added to your final invoice. This check will include a projectionist and our senior production coordinator, and is your opportunity to spot check your content on screen in advance of your screening day. We require at least 1 week notice to schedule a tech check, and will work with you to schedule the check enough in advance of your screening to manage any playback problems. Please email  mrobinson@hotdocs to schedule a tech check.

You can also request a full screening check of your content. This is a rental of the cinema to screen your content from start to finish. Please email jmarculescu@hotdocs.ca for more details and to schedule a full screening check.


PRESHOW MATERIALS & DIGITAL SIGNAGE CONTENT

TRAILER FORMAT
We can accept feature trailers as DCPs matching the above specifications, or as the below:

H264 .mov file
No more than 20 Mbps bit rate
1920 x 1080 resolution

STILL IMAGE FORMAT
For any preshow slide or digital signage content, please provide the below:

TIFF or JPG image file (no .pdf files)
1920 x 1080 resolution

Please note we can also accept physical posters for display in our cinema lobby. Our poster cases are the standard North American “One Sheet”: 27” x 40” portrait, with a 1” border all around. Posters can be send to the address above, with delivery at least 7 days prior to screening.

MUSIC FORMAT
Any preshow music can be provided as audio CD, .mp3 or .aiff audio format. Music can also be provided on a portable music device such as an iPod for direct connection to our sound system. We also have the ability to play Spotify playlists.

Preshow materials can be provided digitally. Please note that the Hot Docs Ted Rogers Cinema requires all preshow materials to be delivered 72 hours prior to screening. Materials delivered on the day of the event risk not being part of the screening or event.


PRESENTATION CONTENT

The Hot Docs Ted Rogers Cinema accepts PowerPoint and Keynote presentation material to be played back off of our in-house Macbook Air. We suggest that you provide us with a USB drive as a backup, with all presentation files, video content, and font packages included.

Presentations should always be formatted in 16x9 aspect ratio (Widescreen) with a resolution of at least 1920x1080. For optimal presentation on our screen, please maintain at least a 50 pixel distance from slide edge for all content.

If you choose to use your own laptop for content playback, we require that you arrive with the laptop at least 1 hour before event start to ensure proper connectivity. If you plan on presenting content using an Apple laptop, please make a point of bringing whatever specific adaptor your model of laptop requires to connect to HDMI. Please make a point of letting us know if you want to use an alternate form of presentation playback at least a week in advance of your event.


ACCESSIBILITY TECHNOLOGY

The Hot Docs Ted Rogers Cinema has the ability to feature Described Sound and Closed Captioning through our in-house Captiview and Fidelio systems for DCP content that arrives with the appropriate tracks included. Please email mrobinson@hotdocs with any questions about featuring this kind of content.
