Hot Docs, North America’s leading documentary festival, conference and market, is a not-for-profit organization dedicated to advancing and celebrating the art of documentary and to creating production opportunities for documentary filmmakers. Hot Docs will present its 32nd annual edition from April 24 to May 4, 2025, in cinemas across Toronto.
 
Year-round, Hot Docs supports the Canadian and international industry with professional development programs and a multi-million-dollar film fund portfolio, and fosters education through documentaries with its popular free program Docs For Schools. 
 
Hot Docs owns and programs the Hot Docs Ted Rogers Cinema, a century-old landmark located in Toronto’s Annex neighbourhood and the world’s first and largest documentary cinema.

JOB DESCRIPTION

The Marketing Coordinator works with the Social Media and Marketing Manager and the wider Communication Department to actively promote Hot Docs Festival’s programming and initiatives. The position oversees the production of advertising and marketing collateral, tracks and fulfills cross-promotional and co-presentation agreements and conducts outreach to public audiences. In addition, they will assist in creating and issuing organizational ebulletins and support the Marketing and Social Media Manager in wider marketing activities. 


KEY RESPONSIBILITIES

  • Oversee the production and delivery of print and digital advertising assets and marketing collateral, including posters, signage, slides etc. while working closely with a designer;
  • ​Ensure the acknowledgement of sponsors, public partners, and funders as well as the fulfillment of promotional benefits;
  • Solicit, track, and deliver on cross-promotional partnerships, co-presentations, and other joint programming activities;
  • Assist in the creation and deployment of sales ebulletins, working with the wider Communications team to craft offers, schedule and build e-communications, and segment mailing lists;
  • Manage updates to industry outreach lists and draft and issue communications to promote industry activities, including Hot Docs delegate registration, in collaboration with Communications Manager;
  • Meet deadlines set out in the communications critical path, the social media content calendar, and Festival production schedule;
  • Assist with departmental administrative and reporting activities;
  • Perform other duties and assist with special projects as assigned. 

QUALIFICATIONS

  • Post-secondary degree in Marketing and/or Communications, or another related field;
  • ​1-3 years of experience coordinating marketing and/or communications initiatives in the non-profit arts sector;
  • Proficiency in using graphic design software (e.g., Canva and Adobe Creative Cloud) and collaboration tools (e.g. Aansa);
  • Experience in building and deploying email newsletters and e-bulletins;
  • Basic knowledge of HTML for email customization;
  • Familiarity with customer relationship management (CRM) systems and email marketing tools;
  • Experience working with designers and printers an asset;
  • Strong proficiency in MS Office.
